Cancellation / No-show policy

Travel Insurance

We strongly advise you to take out the appropriate travel insurance so you can have peace of mind that your costs will be covered, should you need to cancel your stay for any reason.

Cleaning

Pods must be left as clean and tidy as you found them. Eco cleaning products are in the pod for your use. This includes the hob, microwave, sink area, crockery, cutlery, pans, utensils and shower room.

We take recycling very seriously here on the farm and would ask that all your rubbish be sorted into the recycling bins next to the car parking area, both during your stay and before your departure.  Recycling information is included in your welcome pack.

Chestnut Lodges reserve the right to enter and inspect the pods at any time.  If a pod is left in an unsatisfactory condition or deliberately damaged in any way, we reserve the right to charge costs.

Damage, Loss and Theft

Guests agree to inform the owners of any damage or loss however caused excluding reasonable wear and tear incurred during occupation. Guests should not remove any item from the property. The owner may ask for reasonable replacement costs. Charges for damaged or missing items may be made to the payment card used at the time of booking.

Every pod has an inventory of items that are for the use of all guests.  Please take time to read and check the list and inform us of any discrepancies.

Parking

There is a designated parking area next to the pod site.  Only one vehicle per pod.

Smoking

There is absolutely no smoking (including e-cigarettes) permitted in either of the pods.  

Campfires / Barbecues

Campfires are not permitted on site.

Each of our Pods has the use of a barbecue stand for use with disposable barbecues. Guests can purchase a disposable barbecue from us here when they stay or they can bring their own.

Dogs

We do have our own dogs on the farm, but unfortunately we cannot accept guests’ dogs due to the close proximity of cattle to the pod site, and due to the nature of our working dairy farm.

Arrival/Departure Procedures

Guests can check in from 3pm to 7pm.  Please advise us, on booking, of an estimated arrival time, especially if you think you may need to check in later than 7pm.

As we are working on the farm or in the farm office we are not on site all day, but we can be contacted on the following mobile numbers should you need assistance. We’re usually around and on-site several times a day.

Check-out strictly by 10.30am. Late checkout may incur additional charges if not by prior arrangement. Please leave your keys in the key safe shown to you on arrival if we are not around for your departure.

Code of Conduct

We expect all our guests to respect and look after the site and the pod in which you are staying. We also require you to respect your fellow guests and keep noise levels to a minimum after 10pm.  We have a noise curfew between 10pm and 7am.

Our pods are sited in a quiet field but we are a working dairy farm and there may be tractors moving on the main farm track at any time.  Please respect the signs around the farm regarding areas that are off limits to guests.  We take our Health and Safety responsibilities very seriously and ask visitors to respect our safety rules.

Pod Rules

To look after our pods we ask guests not to wear shoes inside. There are boot boxes on the porch of each pod and hooks to hang wet coats outside the pods.

Hot tub (WILLOW LODGE)

Guests using the hot tub must read the detailed instructions in the Welcome Pack in your pod. You will also receive an email giving you specific hot tub instructions before your arrival.

The lid must ALWAYS be kept on the hot tub when not in use for safety reasons.

Damage caused to the hot tub or hot tub cover may be charged to the guest that booked the pod. Any damage must be reported to the owners.

The Farm Environment

Please be aware that we are a working farm and important jobs need to be carried out daily such as milking and feeding the calves.  Throughout the farming year activities such as slurry spreading, ploughing and harvesting will take place. These are vital to our working farm but sometimes cause smells and some noise (but are quite fun to watch!).  When the weather warms up in the Spring we love to see the cattle out in the fields grazing in the sunshine.  Often the field next to the pods will be occupied by curious young cattle grazing, which may like to say hello!  As a working dairy farm, there is often farm activity nearby and complete silence cannot be guaranteed!

As part of our farm diversification we also run a regular Clay Shoot in the woods near to the Pods.  This takes place on alternate Sundays from 10am – 1.30pm.  You will be advised on booking if this coincides with your stay with us.  During the Sunday shoot there will be people walking through to the wood near the Pods and there will be noise from the guns.  You are very welcome to join us in the Shoot Club House and partake of Bacon/egg/sausage rolls and hot drinks.  It’s a very sociable occasion.           

We also run occasional corporate shoots at the area at the bottom of the farm yard.  We have a notice board by the car parking area and will bring any possible corporate shoots sessions to your attention before they happen.

Complaints Procedure

If you have a problem with your accommodation during your stay please advise us as we would like the opportunity to resolve it as soon as possible.  Please let us know of any damage, breakages or maintenance issues that you come across.

We take all comments from our guests seriously and in the unlikely event that you wish to make a complaint you can contact us by phone or email and we will respond.  We will try to resolve any issues as soon as possible.

Liability

We accept no responsibility for any loss or damage that may occur to your car or associated property whilst on the Chestnut Lodges site, except where such loss or damage has arisen as a result of our negligence or a breach of our duty to you.
